This Privacy Policy covers the information we collect about you when you use our services, or otherwise interact with us (for example, by attending our events and trade shows), unless a different policy is displayed. LED Flex, we and us refers to LED Flex Ltd.

This policy also explains your choices about how we use information about you. Your choices include how you can object to certain uses of information about you and how you can access and update certain information about you. If you do not agree with this policy, you may not access or use our Services or interact with any other aspect of our business. 

What information we collect about you

We collect information about you when you provide it to us, when you use our services, and at events and trade shows

Information you provide to us
All the information we collect on you is provided by you to help with purchasing, delivery of products, and invoicing. This information consists of Full Name, Email Address, Phone & Fax Numbers, Office Address, Delivery Address (if different), and in some cases Billing Information.

Content you provide through our websites:
The website is owned and operated by us, and may collect content that you submit such as a contact form. This includes social media or social networking websites operated by us. For example, you provide content to us when you provide feedback or when you require assistance via the online contact form, surveys, and trade shows. This information often consists of a Full Name, Email Address, Phone Number, and Region.

Personal Information:
We collect information about you for the daily workflow of our business. When you open a new customer account with us we collect contact details such as Full Name, Email Address, Phone & Fax Number, and Delivery Address. We may also collect information from you regarding Billing and additional Delivery Addresses. This also applies to trade shows where we collect basic personal information.

Payment Information:
In some cases we collect payment and billing information which is stored within a Third Party service, SagePay. This information is never stored within any LED Flex Ltd software or on the LED Flex Ltd premises.

Information we collect automatically when you use the Website
When users visit the website, we sometimes collect basic information such as date and time and in some cases IP addresses. All this collected information is removed automatically after 30 days.

Cookies and Other Tracking Technologies:
LED Flex Ltd use cookies and other tracking technologies (e.g., analytics) to provide functionality and to recognise you across the website and to provide a better user experience. This information is never shared with any other third party service except the analytics service itself, Google.

Existing Information:
If you are already a customer of ours from before 25th May 2018, we believe that we have a legitimate business interest in storing and processing your data in this way with us. If you no longer wish to be associated as an existing customer or to be contacted via email for marketing purposes, or have your information used with third party software please contact us at gdpr@ledflexgroup.com to object.

How we use information we collect

How we use the information we collect depends what the information was collected for.

To communicate with you about the Services:
We may email you regarding updates, downtime, and amends to policies relating to our services and website. We may also email you marketing related information and confirmation details upon trade show registrations and order confirmations.

To provide the Services and personalise your experience:
We use your information when processing orders to make sure the correct products are sent to the correct recipients and invoiced accordingly. We also store your information on a variety of third party applications to help manage our inventory and invoicing. (See below)

Customer support:
We use your information to resolve technical issues you encounter, to respond to your requests for assistance and to follow up on current and previous orders.

To protect our legitimate business interests and legal rights:
Where required by law or where we believe it is necessary to protect our legal rights, interests and the interests of others, we use information about you in connection with legal claims, compliance, regulatory, and audit functions, and disclosures in connection with the acquisition, merger or sale of a business.

Archives:
We keep your purchase data on record for our own financial records and inventory management.

How we share information we collect

The only information we share using your personal details are to the below third party services. We never sell your personal information onto any other company or organisation.

Sharing with third parties
We share some of your personal information with third parties that help us operate, provide, improve, integrate, customise, and support our services. The list of third party services we use are below.

Mail Chimp - We use this to manage email campaigns for marketing, downtime, updates, and general confirmation of trade show interest via email.
Inventory management - We use this to manage our inventory and allocate the correct amount of products upon purchasing to each individual customer.
Invoice System - We use this to generate, manage, and send invoices for orders to each individual customer.
CRM - We use this to manage our project timelines and tasks for each individual customer and company.
Sage Pay - We use this to manage payments where necercery.

You have a right to allow or disallow us to use your personal information with all or a specific third party. In doing so this may cause issues in completing orders and business with you so if you are concerned about any of the third party tools used please contact gdpr@ledflexgroup.com

How we store and secure information we collect

Information storage and security
We store all your personal data within a secure Amazon EC2 Database. This information is managed by LED Flex Ltd via an online bespoke application run and managed only by LED Flex Ltd employees. This system is served over a secure SSL connection and supports additional security such as capture logins, IP logging, and monitoring tools notifying us of a breach. While we implement safeguards designed to protect your information, no security system is impenetrable and due to the inherent nature of the Internet, we cannot guarantee that data, during transmission through the Internet or while stored on our systems or otherwise in our care, is absolutely safe from intrusion by others.

How long we keep information
How long we keep information we collect about you depends on how long business is active between LED Flex Ltd and you. As soon as business seizes between LED Flex Ltd and you, your data will be removed from all online systems within a 175 day period. Your information is also removed from all third party services LED Flex Ltd uses. We assume you will always be an active customer of ours unless either notified by you or your product warranty expires.

Marketing information:
If you have elected to receive marketing emails from us, we also store your First Name and Email Address with our third party email provider, Mail Chimp.

How to access and control your information

You have the right to access, and remove your personal data from within the systems we use, and to be given your personal information in a clear readable format. You have the right to request a copy of your information, to object to our use of your information (including for marketing purposes), to request the deletion of your information, or to request your information in a structured, electronic format. Once a request is made, we save the request information of a First and Last Name, Email Address, Date and IP address of the request, which is automatically deleted after 175 days.

Your request and choices may be limited in certain cases: for example, if fulfilling your request would reveal information about another person, or if you ask to delete information which we or your administrator are permitted by law or have compelling legitimate interests to keep. If you have unresolved concerns, you may have the right to complain to a data protection authority in the country where you live, where you work or where you feel your rights were infringed.

Access and update your information:
You have the right to request your personal information by emailing gdpr@ledflexgroup.com or by writing in to the address printed at the bottom of this policy. All information requests are subject to verification and are logged by time and date and method of request. You will then be emailed a unique one time link giving you access to your data. You will be supplied your personal data in a clear format with a selection of check boxes giving us permission for such things like third party services and marketing purposes.

Delete your information:
You have the right to be forgotten and have all personal information removed from LED Flex Ltd systems and any third party system LED Flex Ltd uses to help manage the daily workflow. Upon a delete request, all your personal information will be moved to a contained database table where an automatic delete process will be actioned within 20 days of the request. Please note, however, that we may need to retain certain information to complete orders and transactions or to comply with our legal obligations.

Opt out of communications:
You may opt out of receiving promotional and marketing communications from us by using the unsubscribe link within each email, or by contacting us at gdpr@ledflexgroup.com.

Send "Do Not Track" Signals:
Some browsers have incorporated "Do Not Track" (DNT) features that can send a signal to the websites you visit indicating you do not wish to be tracked. Because there is not yet a common understanding of how to interpret the DNT signal, our Services do not currently respond to browser DNT signals. You can use the range of other tools we provide to control data collection and use, including the ability to opt out of receiving marketing from us as described above.

Transfers outside the European Economic Area

Data which we collect from you may be stored and processed in and transferred to countries outside of the European Economic Area (EEA). For example, this could occur if our servers are located in a country outside the EEA or one of our service providers is situated in a country outside the EEA. These countries may not have data protection laws equivalent to those in force in the EEA.

If we transfer Data outside the EEA in this way, we will take steps with the aim of ensuring that your privacy rights continue to be protected as outlined in this privacy policy. You expressly agree to such transfers of Data.

Links to other websites

This Website may, from time to time, provide links to other websites. We have no control over such websites and are not responsible for the content of these websites this privacy policy does not extend to your use of such websites. You are advicsed to read the privacy policy or statement of other websites prior to using them.

General

You may not transfer any of your rights under this privacy policy to any other person. We may transfer our rights under this privacy policy where we reasonably believe your rights will not be affected.

If any court or competent authority finds that any provision of this privacy policy (or part of any provision) is invalid, illegal or unenforceable, that provision or part-provision will, to the extent required, be deemed to be deleted, and the validity and enforceability of the other provisions of this privacy policy will not be affected.

Unless otherwise agreed, no delay, act or omission by a party in exercising any right or remedy will be deemed a waiver of that, or any other, right or remedy.

This Agreement will be governed by and interpreted according to the law of England and Wales. All disputes arising under the Agreement will be subject to the exclusive jurisdiction of the English and Welsh courts.

Changes to our Privacy Policy

We may change this privacy policy from time to time. We will post any privacy policy changes on this page and, if the changes are significant, we will provide a more prominent notice by adding a notice on the homepage, or by sending you an email notification. We encourage you to review our privacy policy whenever you use our services to stay informed about our information practices and the ways you can help protect your privacy.

If you disagree with any changes to this privacy policy, you will need to stop using the our services and request the Right of Removal using the contact details below.
